This Cancellation and Refund Policy (“Policy”) forms an integral part of the Terms and Conditions of Let’s
Thrive. By making a booking, you confirm that you have read, understood, and agree to be bound by this
Policy. Planning curated experiences requires significant advance commitments to venues, service providers,
and logistics partners — many of which involve non-recoverable costs. This Policy is designed to be fair and
transparent while reflecting the operational realities of delivering premium, small-group experiential
programmes.

1. Cancellation by Participant

1.1 Cancellation Timeline and Refund Schedule

All cancellation requests must be submitted in writing via email to letsthriv3@gmail.com. The date of receipt
of your written cancellation request will determine the applicable refund. The following schedule applies to
Curated Residencies and Immersive Travel Experiences:

1.2 Important Notes on Participant Cancellations
  • The 30% booking deposit is non-refundable under all circumstances, as it covers immediate
    commitments made to vendors upon booking confirmation
  • Refunds will be calculated on the total amount actually paid (not the total experience fee)
  • Refunds will be processed within 14 business days of the cancellation request being approved, to
    the original payment method
  • If cancellation results in a partial group, remaining participants will not be charged extra
  • Cancellation of ancillary services (airport transfers, pre/post-trip accommodation, add-on activities)
    booked through us will incur 100% cancellation charges if cancelled within 15 days of the
    experience start date

2. Transfer and Rescheduling Options

2.1 Transfer to Another Person

Instead of cancelling, you may transfer your confirmed spot to another person, subject to the following
conditions:

  • The replacement participant must meet our application and eligibility criteria
  • Written notice of the transfer must be provided to us at letsthriv3@gmail.com at least 15 days before
    the experience start date
  • A transfer fee of INR 5,000 per transfer applies to cover administrative and re-curation costs
  • The replacement participant must agree to these Terms and Conditions in full
  • Both the original and replacement participant remain jointly and severally liable for the full payment
  • A maximum of two transfers per booking are permitted
2.2 Rescheduling to a Future Edition

If you are unable to attend your confirmed experience but wish to join a future edition, you may request a
reschedule:

  • Rescheduling requests must be made at least 30 days before the original experience start date
  • Your payment will be applied as a credit towards a future edition within the next 12 months. This
    credit is non-transferable and non-refundable
  • If the future edition is priced higher, you will pay the difference. If priced lower, no refund of the
    difference will be issued
  • A rescheduling fee of INR 3,000 applies
  • A maximum of one reschedule per booking is permitted. If you cancel after rescheduling, standard
    cancellation terms apply to the new date

3. Cancellation by Let’s Thrive

3.1 Cancellation Due to Insufficient Enrolment

If we are unable to meet the minimum cohort size required to deliver a meaningful experience, we reserve the
right to cancel the edition. In such cases, we will notify you at least 21 days before the scheduled start date
and offer you the choice of: a full refund (100% of all amounts paid) processed within 14 business days; or a
transfer to the next available edition at no additional cost.

3.2 Cancellation Due to Force Majeure

If an experience must be cancelled due to circumstances beyond our reasonable control — including natural
disasters, pandemics, government restrictions, civil unrest, severe weather, transportation strikes, or any
other force majeure event — we will offer you the choice of: a full credit towards a future edition within 12
months; or a refund of 85% of the total amount paid (15% retained to cover non-recoverable costs already
incurred). We will not be liable for any incidental expenses such as flight tickets, hotel bookings, visa fees, or
other travel costs you may have incurred independently.

3.3 Cancellation Due to Safety or Operational Concerns

If we determine that proceeding with an experience poses a genuine safety risk to participants or staff, we
may cancel at any time. In such cases, a full refund (100% of all amounts paid) will be issued within 14
business days.

4. Removal During an Experience

If a participant is removed from an experience due to violation of the Code of Conduct, disruptive behaviour,
endangerment of self or others, or involvement in illegal activities, no refund will be issued. The participant
will be responsible for their own return travel and any additional costs incurred. Let’s Thrive reserves sole
discretion in making such decisions.

5. Corporate Unplugged Cancellations

Cancellation and refund terms for Corporate Unplugged engagements will be outlined in the specific proposal
or Statement of Work (SOW) agreed with the corporate client. In the absence of a separate agreement,
The following applies:

  • Cancellation 45+ days before the event: 70% refund (30% commitment fee retained)
  • Cancellation 21-44 days before the event: 50% refund
  • Cancellation less than 21 days before the event: No refund
  • Reduction in group size by more than 30% within 21 days of the event will be treated as a partial
    cancellation, and adjusted pricing will apply

6. Refund Processing

  • All approved refunds will be processed within 14 business days of approval
  • Refunds will be credited to the original payment method used at the time of booking
  • Bank processing times may add an additional 5-7 business days before the refund reflects in your
    account
  • Transaction charges, payment gateway fees, and any applicable taxes already remitted are
    non-refundable
  • We will send you a refund confirmation email once the refund is processed from our end

7. Insurance Recommendation

We strongly recommend that all participants purchase comprehensive travel insurance that includes
coverage for trip cancellation, trip interruption, medical emergencies, personal accident, and loss of baggage.
This can help protect your financial investment in the event of unforeseen circumstances. Let’s Thrive does
not provide travel insurance and is not responsible for any claims arising from a lack of adequate insurance
coverage

8. How to Request a Cancellation or Refund

To initiate a cancellation or refund request, please send an email to letsthriv3@gmail.com with the subject
line “Cancellation Request — [Your Name] — [Experience Name and Date].” Include your full name, booking
reference (if applicable), the experience name and dates, your reason for cancellation (optional but helpful),
and your preferred option (refund, transfer, or reschedule). We will acknowledge your request within 48 hours
and confirm the applicable refund or alternative within 5 business days.

9. Disputes

If you believe your cancellation or refund has not been handled in accordance with this Policy, please write to
us at letsthriv3@gmail.com with the subject line “Refund Dispute.” We will review your case and respond
within 15 business days. If the matter remains unresolved, either party may pursue resolution through the
dispute resolution mechanism described in our Terms and Conditions.

10. Changes to This Policy

We may update this Cancellation and Refund Policy from time to time. The revised Policy will be posted on
our website with a new “Last Updated” date. Changes will not apply retroactively to bookings confirmed
before the date of the change. For material changes, we will notify affected participants via email.
